Frequently asked questions

How should I best bill coaching packages?

Either advance payment of the total (with discount) or monthly installments. With advance payment, revenue is taxable immediately, regardless of when sessions take place. Installments make entry easier for clients.

Is a cancellation fee legally permissible?

Yes, if contractually agreed and reasonable (100% for short-notice cancellation under 24-48h is common). For longer notice, use a sliding scale (e.g., 50% at 24-48h, 0% for more than 48h). Document the agreement in writing.

Do I need to bill online coaching differently?

To German clients: No, normal VAT rules. To EU private clients: Electronic service, VAT in recipient country (consider Mini-One-Stop-Shop). To EU businesses: Reverse charge. To third countries: Tax-free.

How do I handle installment payments?

For true installments (contractually agreed), invoice per installment or one total invoice with payment schedule. VAT is due at time of service, not payment. Document the payment plan in writing.

Can I charge travel expenses separately?

Yes, either as a flat fee or by actual cost (mileage rate, train tickets). For day rates with corporate clients, travel is often extra. Agree in advance whether travel, accommodation, and meal costs are covered.
