As a graphic designer, you work with different billing models: project packages, hourly rates, or usage right licenses. The right combination ensures fair compensation for creative work.

The Specifics of Designer Invoices

Design services have special requirements:

  • Creative work: Hard to measure in hours

Revision Policy on Invoice:

Included in project price:
- 2 revision rounds after first presentation
- Minor adjustments (colors, fonts)

Additional revisions:
From the 3rd revision round or for
fundamental concept changes, we charge
€85/hour.

2.5 hours × €85 €212.50

Print-Ready Files and Production Data

Print-ready files are an additional service:

For 4 different formats:
4 × €150 €600.00

Source Files and Working Files

Open files stay with the designer - or are billed extra:

Note on Invoice:

The working files (PSD, AI, INDD) remain
with the designer. Transfer of source files
can be agreed upon for a surcharge of 30%
of the project value.

Optional: Source file transfer
30% of €1,650: €495.00

Common Mistakes in Designer Invoices

1. Usage rights not defined

Problem: Client uses design for everything Solution: Define usage scope in quote and invoice

2. Revisions not limited

Problem: Endless revision loops Solution: 2-3 rounds included, then surcharge

3. Formats not specified

Problem: Client expects all formats Solution: Define delivery scope exactly

4. Print-ready files given away

Problem: Production data taken for granted Solution: Show as separate line item

5. No deposit on large projects

Problem: Working in advance without security Solution: 50% deposit before starting work

Deposits and Milestones

Bill larger projects in stages:

Payment Schedule for Corporate Design:

Total project: €12,000.00

Deposit upon order (50%): €6,000.00
After concept approval (25%): €3,000.00
After finalization (25%): €3,000.00

The first partial invoice for €6,000 plus VAT
is due before work begins.

VAT for Designers

Regularly taxable

Design services are subject to 19% VAT.

Artwork Exception

Original works of graphic art (signed, limited editions) may fall under 7% - rarely relevant in practice.

Small Business Regulation

For revenue under €22,000/year (from 2025: €25,000):

No VAT shown according to § 19 UStG.

  2. Limit revisions - 2-3 rounds included
  3. Specify formats - What gets delivered?
  4. Charge for print-ready files - Production data is extra
  5. Agree on deposit - 50% before starting

With Clever Invoice, you create design invoices in minutes - including usage rights templates and revision round tracking.

Frequently asked questions

How do I calculate usage rights?

Usage rights are added as a factor on the base price. Simple use (regional, time-limited): Factor 1.0 (included). Extended (EU, 5 years): Factor 1.5-2.0. Buyout (worldwide, unlimited): Factor 2.5-4.0. Factors are based on industry standard fee schedules.

Should I use hourly rate or flat fee?

Flat fees for defined projects (logo, flyer, website). Hourly rates for ongoing work or unclear scope. With flat fees: Limit revisions! Otherwise you quickly work below minimum wage.

Do I have to hand over source files?

No, not automatically. Source files (PSD, AI, INDD) are your tools and stay with you. You can sell them for a surcharge (often 20-50% of project value). This should be clearly stated in the quote.

How many revision rounds are normal?

2-3 revision rounds are industry standard and should be included in the price. From the 4th round or for fundamental changes (new concept), you can charge hourly. Communicate this upfront in the quote.

When do I need a deposit?

Recommended for projects over €1,000, almost essential from €3,000. Standard is 50% upon order. For very large projects: 50% start, 25% concept, 25% final. The deposit protects against non-payment.
