Writing Invoices as a Freelancer: The Complete Guide for 2025

For the tax office (and your customer) to accept the invoice, the following points must be included according to § 14 Para. 4 UStG:

  • Complete name and address (yours and your customer's)
  • Tax number or your VAT identification number (USt-IdNr.)
  • Issue date of the invoice
  • Consecutive invoice number (uniquely assigned)
  • Quantity and type of service (what did you do exactly?)
  • Date of service (when was the project completed?)
  • Remuneration and tax amount (broken down by tax rates)
  • Payment term (optional but strongly recommended)

2. Special Case: The Small Business Regulation

Do you use the small business regulation (§ 19 UStG)? Then you may not show VAT. Your invoice must instead include a note, for example:

"No VAT is charged according to § 19 UStG."
